Billing and Refund Policy

The historical review is free. Ongoing work is a flat monthly fee per facility, invoiced after the filing cycle it covers. There is no retainer and nothing is paid in advance, so in the normal case there is nothing to refund. Where we bill in error or fail to deliver, we credit it.

The historical review is free

The review of your filing history costs nothing. There is no charge at any point, no card is collected, and taking it puts you under no obligation to hire us. If we run a review and you decide to do nothing, that is the end of it and you owe us nothing.

How ongoing work is billed

Ongoing filing work is a flat fee per facility per month. The figure is set from the free review, written on your order form, and does not change without your written agreement.

  • No retainer.
  • No hourly billing.
  • Nothing paid in advance.
  • We invoice after the filing cycle the fee covers, so you are billed for work already done.
  • If the number of facilities changes, the fee follows from the next cycle.

Why there is usually nothing to refund

Because nothing is prepaid, there is no balance sitting with us to return. You pay for a cycle after it is filed. If you stop, you stop paying for cycles we have not worked.

When we do credit or refund

We will correct our own errors without argument. Specifically:

  • Billing errors. If we invoice for a facility we do not file for, for a month we did not work, or at the wrong rate, tell us and we will correct the invoice or refund the difference.
  • Work we did not deliver. If we were engaged to file for a facility in a given cycle and did not, you are not charged for that facility for that cycle. If it has already been paid, we refund or credit it at your choice.
  • Duplicate payments. Refunded in full.

We do not charge for the time spent fixing our own mistake. If a filing has to be amended because of something we got wrong, correcting it is part of the service.

What is not refundable

Fees for filings we prepared and submitted as agreed are earned when the work is done. A regulator's decision, a change in your operations, or a change of mind about the engagement does not make completed work refundable. If you are unhappy with work we delivered, tell us and we will try to put it right first.

Stopping

You can end the engagement on thirty days' written notice, as set out in the services agreement. You pay for the cycles completed up to that point and nothing after. There is no cancellation fee, no minimum term, and no penalty for leaving.
